Imagine a world where every detail of a patient’s journey is seamlessly at your clinician’s fingertips. That’s why Innovate is introducing a new Electronic Patient Record (EPR) at two local Warwickshire NHS Trusts.

This exciting digital solution is designed to enhance collaborative working between clinicians, increase data security, offer more streamlined care and improve patient outcomes.

  • At its simplest, an EPR is a digital version of a patient’s medical record. But it’s so much more than that. An EPR is a comprehensive digital system that consolidates all patient information into one centralised, secure, and easily accessible platform.

    One of the key features of our EPR programme is the collaboration between South Warwickshire University NHS Foundation Trust (SWFT), George Eliot Hospital NHS Trust (GEH) and University Hospitals Coventry and Warwickshire NHS Trust (UHCW). These three trusts will share a single EPR system, which will enable seamless integration of patient records, workflows and data across the region.

  • The EPR will create a number of job opportunities, at various stages throughout the programme’s duration. These roles will be both full-time and part-time positions, as well as fixed-term contracts and secondments.

    As we are also keen to support the professional development of our teams, there will also be opportunities for current staff to get involved in the programme by taking on some additional responsibilities – time and other commitments permitting.

Our Technology and Digital Services team will be responsible for the strategic planning, development, implementation, and maintenance of the EPR system.

The roles in this area are fundamental to the project, and will include various responsibilities, including developing technology roadmaps, maintaining infrastructure, ensuring security and compliance and providing user support.

Technology and digital services will enable us to streamline everyday tasks and improve access to information, leading to more efficient and improved patient care.

Our Programme managers will be responsible for managing the resources, risks, and dependencies across the EPR project. They will maintain communication with stakeholders, and provide governance to ensure that the programme is delivered successfully.

Our Project Management team will be responsible for the planning, execution, and completion of the EPR project. They will focus on the specific project deliverables, managing timelines, budgets, and communications.

Our Transformation and Change Management team will assist in developing and implementing the change management strategy that is aligned with our EPR programme goals. They will undertake impact and readiness assessments, establish support structures, and monitor the effectiveness of changes.

Our Clinical Informatics team will be fundamental to the EPR programme by bridging the gap between clinical workflows and technology.

The team will analyse, design, and support the implementation of the EPR system to ensure that it aligns with clinical needs. The team will collaborate with clinicians to train staff, manage data integration, and ensure compliance with healthcare standards.

Our SMEs will provide a deep insight into clinical workflows and ensure that the EPR system aligns with the Trusts clinical needs.

Our SMEs support in translating the Trust’s clinical requirements into system functionalities. They will help to identify any potential issues early, guiding the configuration and validating that it meets regulatory and safety standards.

They will also provide training support to colleagues, ensuring that teams feel adequately prepared to use the new system effectively.

Our Training and Learning team will design and deliver EPR training that will equip colleagues from across the Trusts with the necessary skills and knowledge to use the system and perform their roles effectively.

The team will develop customised training materials, and conduct workshops and e-learning sessions to ensure that all staff understand our EPR objectives, it’s tools, and the processes. They will be responsible for the ongoing support and continue development of colleagues post implementation.

There are a variety of other roles that will be crucial to ensuring the effective coordination, communication, and timely execution of our EPR journey.

Information Governance experts, Communications and Engagement specialists as well as Finance and HR professionals are just a few of those who will be working with colleagues across the Trusts to support the smooth transition to the new system.

Our Digital Champions will be advocates for the adoption and effective use of the EPR system. Their role will be crucial, acting as intermediaries between the project team and Trust staff.

The Digital Champions will help support a smooth transition to the new system by fostering a positive attitude towards change, troubleshooting issues, and sharing best practice.
